Podium ("we", "us", "our") is salon, spa and barbershop management software operated in Kenya. This policy explains how we handle your personal data when you use our website, demo forms and the Podium application.

2. What data we collect

2.1 Data you give us

• Demo requests: name, WhatsApp number, email address, business name, business type and team size
• Account data: the details you provide when your business is set up on Podium
• Messages: anything you send us through WhatsApp, email or our forms

2.2 Data collected automatically

• Usage data: pages visited and features used within Podium, so we can improve the product
• Technical data: browser type, device and approximate region

We do not use advertising cookies or trackers. Our website analytics are cookieless and do not identify individuals.

3. Why we use your data

• To respond to demo requests and enquiries (your consent, or our legitimate interest in responding)
• To provide, maintain and improve the Podium service (performance of our contract with you)
• To send service communications — confirmations, reminders and account notices
• To comply with legal obligations under Kenyan law

We do not sell your personal data, and we do not use it for third-party advertising.

4. Who we share it with

Only the service providers needed to run Podium, each under confidentiality obligations:

• Hosting and infrastructure providers (data stored on servers secured by our providers)
• Email and messaging providers (to send confirmations, reminders and our replies)
• Payment processors (M-Pesa and card payments are processed by the payment providers themselves)

5. How long we keep it

• Demo enquiries: up to 12 months, unless you become a customer
• Customer data: for the life of your account, exportable at any time
• If you close your account, we help you take a full export and delete your data on request

6. Your rights

Under the Kenya Data Protection Act (2019) and equivalent regulations, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Delete your data (see Data Deletion)
• Object to or restrict processing
• Export your data in a portable format

7. Security

Data is transmitted over encrypted connections (HTTPS) and stored on access-controlled infrastructure. Access to customer data is limited to team members who need it to run the service.

8. Changes to this policy

If we make material changes, we update this page and change the "last updated" date above. For significant changes affecting active customers, we notify you directly.
